Managing a Dorset Renovation Remotely From London or Overseas

How owners can retain control of a substantial Dorset renovation through clear authority, reporting, decisions, records and site evidence.

Renovating a Dorset property while living in London or overseas is workable when the project has an agreed decision system. Distance becomes difficult when approvals are informal, site information is fragmented and the owner cannot distinguish progress from activity.

The objective is not to reproduce every site conversation remotely. It is to give the owner timely evidence, clear choices and a reliable record.

Define authority before construction

Write down who can approve design decisions, cost changes and programme consequences. If two owners are involved, agree whether both approvals are required. Identify who speaks for the architect, engineer and contractor.

Without this clarity, a minor question can circulate for days while connected work stops.

Establish one source of truth

Messages are useful for alerts, but they are a poor project archive. Drawings, selections, instructions and approvals should be stored in an organised system with clear revision information.

At minimum, maintain:

  • the current drawing and specification set;
  • a decision register with required dates;
  • a record of agreed changes;
  • programme updates;
  • photographs and walkthroughs;
  • certificates, manuals and warranties.

Make weekly reporting useful

A useful weekly report answers five questions:

  1. What was completed?
  2. What is being inspected or concealed?
  3. What happens next?
  4. Which decisions are required, by when?
  5. Has the cost or programme position changed?

The same camera positions should be revisited where possible. This makes progress easier to compare and creates a record of hidden work before it is covered.

Use video walkthroughs deliberately

Live walkthroughs are valuable for context, but they should not become unstructured tours. Prepare an agenda around decisions and quality points. Pause at relevant junctions and follow the call with a written record of what was agreed.

For finishes, video cannot replace approved physical samples. Colour and texture shift between cameras and screens. Arrange for samples to be reviewed in person, delivered to the owner, or approved against a previously agreed benchmark.

Control changes before work proceeds

Remote owners should not discover a design change through progress photographs. Any proposed variation should explain:

  • the reason for change;
  • the options considered;
  • cost and programme implications;
  • the decision deadline;
  • the drawing or specification affected.

Not every site condition can be predicted, but every response can be recorded.

Appoint a team that understands its duties

The HSE explains how responsibilities for domestic clients normally pass to the contractor or principal contractor under CDM 2015, unless other written arrangements are made. Owners should ensure the appointments and project structure are clear rather than assuming that distance removes their involvement.

Professional designers and specialist advisers retain their own responsibilities. A project manager coordinates information; they do not replace engineering, planning, legal or building-control expertise.

Plan visits around decision value

If the owner can attend only a few times, schedule visits for moments that materially influence the outcome:

  • after opening-up, before the scope is finally confirmed;
  • at a benchmark or sample-room stage;
  • before closing critical finishes;
  • during pre-handover inspection;
  • at final demonstration and handover.

Handover should be assembled throughout

Do not wait until the final week to request certificates and manuals. Build the handover record as systems are installed and tested.
